Data Retention and Storage Policy
WordBinary separates uploaded source files, generated reports and repository records. Source files are temporary processing files. Standard reports are deleted after 60 days by default, while institutional reports are retained for two years unless early deletion is requested by authorised institutional personnel.
Uploaded source files
Uploaded files are used to perform the check selected by the user, such as AI detection, plagiarism checking, AI + plagiarism, grammar review, or an approved public submission workflow. Uploaded source files are automatically deleted from the system within seven days.
Generated reports
Generated AI and plagiarism reports are kept separately from the uploaded source file. For standard individual accounts, reports are deleted after 60 days by default. Reports generated under institutional Supervisor, Teacher, connected Student and approved public-submission workflows are retained for two years from report generation unless an authorised early deletion request is approved.
Repository submission
Documents are not submitted to the internal repository by default. Repository submission appears only for accounts that have repository access and only for eligible plagiarism-capable checks. If the user selects Submit to Repository and confirms the required ownership and permission statements, extracted text may be stored for future similarity checking. Repository records are not automatically deleted and can be removed only through an authorised repository deletion request.
Institutional accounts
Supervisor, Teacher and Student account workflows are available for institutional setups. Normal individual users receive personal standard accounts unless an institution has created or linked their account. Repository access, folder management and public submission workflows depend on the account permissions enabled by the administrator or connected institutional account.
Why reports are retained
Report retention allows users and authorised institutional reviewers to return to a generated report, confirm the report through QR verification where enabled, and keep a clear record of the analysis that was produced at the time of checking.
Best practice for users
Download important reports for your own records, keep your own copy of the original document, and select repository submission only when you have the necessary rights and permission.
