Are Files Stored in Repository?

WordBinary does not submit documents to the internal repository by default. Repository submission is a controlled option that appears only when repository access is enabled for the account.

Default upload behaviour

The default upload setting is No Repository Submission. In that case, the uploaded source file is used for the selected check and is automatically deleted within seven days. The generated report is retained separately under the applicable account rule: 60 days by default for standard individual accounts and two years for institutional workflows unless authorised early deletion is requested.

When repository submission appears

Submit to Repository appears only when repository access is enabled for the account and the selected check supports plagiarism review. Repository access may be enabled by Admin for any account, by an enabled Supervisor for connected Teachers, or by an enabled Teacher for connected Students.

What the repository stores

When a user selects Submit to Repository, enters the institution or organisation name and confirms the required ownership and permission statements, extracted text may be stored for future plagiarism similarity checks. This is different from keeping the uploaded source file.

How repository matches appear

If a future document overlaps with repository-submitted text, the plagiarism report may show a match such as WordBinary Repository: XYZ University. This helps identify internal institutional similarity without exposing the original uploaded file.

Public submission links

Supervisor and Teacher accounts with the right permissions can send public submission links. The sender can decide whether repository submission is enabled for that link. If repository submission is enabled, the submitter must provide the required confirmations before upload.

Best practice before selecting repository submission

Use repository submission only when you have the necessary rights, authority and permission. If you are unsure whether a document may be stored for future plagiarism checks, select No Repository Submission or contact support first.
